Design Process-Phase One: The Client Interview


(1 to 2 Meetings or 1 – 2 weeks)

Meeting One: The Interview is the initial meeting between

Designer and Client. This meeting is often just an interview

and fact finding meeting for the Client to gather information

on our firm, our process, and our fees to determine if

we are the firm that they wish to hire. We often begin the

Programming process during the Interview as we gather

information on the Client’s wants, needs, and goals; however,

most of the Programming occurs in a second meeting.

We request that when our Clients schedule the Interview

they either send ahead or bring to the Interview the following

information:

Lot Survey*- A Lot Survey defines property boundaries by

showing the property lines, bearings, and curve data for all

sides of the Client’s property. The survey may or may not

show the setbacks or locate the utility poles (electricity,

phone, etc.). We would like to have all of this information,

but we will determine after the initial meeting if it is necessary

for the surveyor to add this information to the

Client’s existing survey.

*If your lot is within a master planned community then the

recorded subdivision plat from the neighborhood showing

the lot information will be sufficient provided the plat

shows the necessary lengths, bearings, and curve data.

Topographical Survey – A survey that includes the same

information as the Lot Survey but also shows the slope of

the property . A topographical survey should also show the

location, size, and type of certain trees. Not every lot will

require a topographical survey.

Elevation Certificate: If the property is in a flood plain or

flood way, we must have an elevation certificate from a

licensed surveyor.

 

Deed Restrictions – This is written and

recorded information regarding setbacks,

height of home and other design and construction

limitations. Most neighborhood

restrictions can be found on the internet

and downloaded.

Title Policy, Schedule B* – This is the

second portion of the Title Report that lists

the recording data of any deed restrictions

and or plats or other instruments.

*This information is more important for inner

city properties where Deed Restrictions are

non existent or are being re-enacted.

Soil Report - A written report based on

field exploration and soil boring samples

which are tested and analyzed to determine

the characteristics, conditions and soil

parameters of your lot. The Structural

Engineer will analyze and utilze all of the

data in the report to design the foundation

for your project.

Basic Design Information – Basic rooms

desired by Client, including their size and

how they relate to one another are they

close to each other or are they separated.

We want to know the estimated square

footage of the home and the style and or

character the Client wants to achieve for

their new home. We have included a

DESIGN QUESTIONNAIRE to help you with

this process.        

Meeting Two: Is our Programming Meeting

where we define the needs and wants of our

client, basically your “wish list”. Prior to this

meeting we will have you and your family fill out

our Programming Questionnaire. We also ask

that you bring any pictures you can find in books

and magazines that illustrate the character of the

house both inside and out that you want to

create. The Programming Questionnaire is at the

back of this brochure for your use.

We may perform a site visit if necessary to

document the location of the utility power lines

and poles. We often locate the trees and determine

the best views and sun orientation.

A budget should be established for the new

home prior to beginning the Design Process.

This question is also included in the Programming

Questionnaire.

It is very important that couples both attend

the Programming meeting and the subsequent

Schematic Design meetings. When designing

your home we like to hear from both parties as

even in the best of relationships there are different

opinions and views that we want to make sure

are addressed at the beginning of the Design

Process.

We try to send proposals within 48 hours of

the Programming meeting, once we have researched

the site and established the level of

detail required to create your construction

documents. As authorization to begin designing

on your behalf, we will require the signed proposal

and initial retainer, which is 20% of the

total estimated fee. We are always available to

answer questions regarding the proposal and

fee.
